Fund Accounting: Where Our Architecture Agrees With Vantaca
Vantaca's own published documentation makes a real architectural point against CINC: that CINC requires a separate general ledger configuration for every fund, while Vantaca lets any GL account apply to any fund without duplicating setup. That's a genuine, verifiable claim — and it's already how CommunityPay's own ledger works. We say so plainly rather than pretend the idea is unique to us.
"Requires separate GL per fund" (CINC), per Vantaca's own comparison
Vantaca's blog states plainly: "Fund accounting is more flexible in Vantaca than in most platforms. Any general ledger account can apply to any fund without creating duplicate GL entries… CINC, based on published documentation, requires separate GL configurations for each fund."
Fund assigned at the journal entry, not the account
A GL account isn't locked to one fund. The fund is assigned per journal entry, so Operating, Reserve, Capital, and Special can all use the same chart of accounts — no duplicate setup per fund, per association. Same principle as Vantaca's, enforced at the database layer.
Resale certificates via HomeWiseDocs, not native
Vantaca's own help documentation describes a native API integration with HomeWiseDocs, a separate third-party platform, for resale certificate processing — the same third-party dependency PayHOA and CINC also rely on, just a different partner.
Resale certificates generated from the ledger itself
Statute-mapped, generated directly from the association's own accounting records — no handoff to a separate vendor. Backed by a living legal authority system with executable statutory thresholds, patent-pending.
Pricing & AI: Different Strengths
Vantaca does not publish pricing — its FAQ describes a tiered, quote-based model (small, mid-market, enterprise) where per-door cost falls as portfolio size grows. We're not going to guess at a number Vantaca hasn't published. On AP invoice automation specifically, our deterministic role-based matching (FLASH) plus AI OCR and automated invoice entry is the more accurate approach for that one job. Where Vantaca is genuinely ahead is breadth: a heavily-invested agentic AI layer (HOAi) spanning budget creation and broader operational workflow — territory CommunityPay isn't chasing, by deliberate choice, in favor of depth on financial, accounting, and compliance infrastructure.
| Dimension | CommunityPay | Vantaca |
|---|---|---|
| Pricing model | Published flat rate — see pricing | Not published; tiered quote-based, per-door cost decreases with portfolio size |
| Platform fee over time | Flat — does not increase after signing | Not published |
| Outgoing vendor ACH payment | $0, included — every plan | Integrated via "Vantaca Pay"; fee not published |
| Pre-posting transaction evaluation (patent-pending architecture) | 18 enforcement guards, every transaction, enforced at the database layer | No published feature |
| Agentic AI for AP invoice coding/approval | Not built — resident handling is workflow-driven task routing with accountability, not autonomous AI posting | Yes — "HOAi," marketed with a single-customer case study at 15,000 invoices/month, 94%+ accuracy |
Enforcement & System of Record
This is where "enterprise" stops being a marketing word and starts meaning something specific: every posting evaluated against a fixed rule set before it lands, logged whether it passes or not. Vantaca does not publish claims in this category — it's built as general-purpose property management accounting, not an enforcement layer over the ledger.
| Feature | CommunityPay | Vantaca |
|---|---|---|
| Pre-posting transaction evaluation (patent-pending architecture) | 18 enforcement guards, every transaction | No |
| Immutable decision log | SHA-256 hashed, append-only | No |
| Fund segregation enforcement | Automated, blocks cross-fund violations | Flexible fund assignment per GL account (see Section 1); enforcement not published |
| Automatic bank reconciliation | Three-way, bank = GL = client | Automated, marketed at "up to 80% automated" |
| Token-gated CPA audit portal | SHA-256 hashed tokens, no login required | No |
| Enterprise debt subledger | Event-sourced, covenant evaluation | No |
| Reserve funding status report (RSI) | Institutional packet, SHA-256 hashed | No published feature |
| Multi-state resale compliance profiles | 10 states, 14 profiles | No published feature |
| Positive Pay / payment fraud controls | Velocity limits, pattern analysis | Positive Pay on banking, per Vantaca's own claims |
Reporting, Legal Corpus & Institutional Tools
Beyond enforcement, this is the depth a real audit or lending relationship actually requires — CIRA-standard financial statements, a living record of the statutes a certificate cites, and workflow-driven accountability for resident handling instead of a support chatbot.
| Feature | CommunityPay | Vantaca |
|---|---|---|
| CIRA-standard financial reporting | 30+ statements — balance sheet, changes in fund balances, budget-and-actual, RSI, cash flows by fund | General-purpose GAAP reporting (balance sheet, bank rec, cash flow) — no CIRA-specific statement set published |
| Token-gated CPA audit portal | No login required, scope-controlled per engagement, every access logged | No |
| Living legal corpus (patent-pending architecture) | Statute, case law, session law & regulation tracking with sourced quotes | No |
| Condo questionnaire API (Fannie 1076 / Freddie 476) | Auto-filled from live ledger data | No |
| Resident handling | Workflow-driven assignment and task routing with accountability tracked to completion — not a Q&A chatbot | "HOAi" agentic AI — broader scope (budget creation, workflow automation) but general-purpose, not role-deterministic on account matching |
| Resident statement access | Available to all residents | Not published as a distinct capability |
| CARIScore — community association risk index | 5-component, 0–100 score for lenders, insurers & buyers | No |
| Budget builder | Native to the ledger — ties budget lines directly to GL accounts | Included; AI-assisted budget creation via HOAi |
| Full ledger read/write access for board & manager | Every entry itemized, no curated-report ceiling | Not published as a distinct capability |
| AI-driven AP automation | AI OCR, deterministic vendor matching, and a per-HOA inbox that reads incoming invoices, enters bills, and routes them to approval | No published feature |
| Deterministic account-role matching (FLASH) | Scored, rule-based lookup by account role — not an LLM guess, so it can't hallucinate an account | No published feature |
Governance, Trust & Vendor Risk
The controls a board actually needs when real money and real vendors are involved — separation of duties on approvals, trust funds that reconcile against the bank and the client independently, and vendors verified before they get paid, not after something goes wrong.
| Feature | CommunityPay | Vantaca |
|---|---|---|
| Trust accounting, three-way reconciliation | Bank = GL = client, automated daily | No published feature |
| Board approval workflow & separation of duties | Dollar-threshold approval tiers, treasurer/payer separation, self-approval controls | Optional second-person review on reconciliation adjustments; no published payment-approval workflow |
| Vendor license, bond & insurance monitoring | Automated daily checks before a vendor gets paid | No |
| Fraud detection on payments | Velocity limits, pattern analysis | Positive Pay on banking (see Section 3); transaction-pattern fraud detection not published |
| Violation tracking | Included | Included |
| Multi-factor authentication | Available on every account | MFA published as part of its security claims |
| Enforcement at the database layer | 18 guards decide before an entry posts; 8 database-level triggers refuse any entry with no decision attached — patent-pending | No published feature |
