Reserve Funding
Status Reports

Your reserve study sets the plan. This tracks whether you are funding it — component register, 30-year cash flow projection, and funding adequacy, computed from your actual assets, expenditures, and fund balances.

Written for
Accounting firms and management companies that keep association books, large associations with a funded reserve, reserve study professionals, and CPAs who need to track reserve fund health and component replacement planning.
Powered by
Live ledger data. Component registry synced with fixed assets. Expenditure history from actual vendor payments. Funding adequacy computed from current budgets.

A reserve study is prepared at a point in time, by a professional, usually with a site inspection. It sets the component list, the useful lives, and the funding plan. What it cannot do is tell you where you stand in the years between studies. That is the gap this fills.
01

The Years Between Studies

A study is commissioned every three to five years. In between, components get replaced, costs come in above or below estimate, and contributions change. The board is asked whether reserves are adequate and has no current answer until the next study arrives.

Between Studies, Today Between Studies, With CommunityPay
The plan ages from the day it is delivered Component register updates as assets change
Funding status known when the next study lands Funding adequacy recomputed with every transaction
Replacement costs are estimates Actual expenditure history from the ledger
Useful lives estimated at one point in time Real replacement history tracked per component
Drift is invisible until the next study Drift is visible the month it happens
02

Funding Analysis

Multi-method funding calculations that show exactly where you stand and what it takes to reach your target funding level.

Funding Methods

  • Full Funding (100% of future obligations)
  • Baseline Funding (cash flow method)

  • Statutory Minimum (state requirements)
  • Custom funding targets

Analysis Outputs

  • Percent funded calculation
  • Fully funded balance target
  • Annual contribution requirements
  • Special assessment scenarios
  • Funding gap analysis
Percent Funded: The industry-standard measure of reserve health. CommunityPay calculates your percent funded in real-time as fund balances and component data change—not once every three years.

Living Document Updates

The report recomputes when the underlying data changes — a component replaced, a contribution posted, a balance moved. No one re-runs anything.

Automatic Triggers

  • Reserve fund balance changes
  • Component replaced (expenditure posted)
  • New component added to registry
  • Contribution rate changed
  • Useful life adjustment

What Updates

  • Percent funded recalculates
  • 30-year projections refresh
  • Funding recommendations adjust
  • Deficit warnings update
  • Board reports regenerate
Replace a Roof: Post the expense to the ledger. Component registry updates. Useful life resets. Projections recalculate. Percent funded adjusts. All automatic.
07

State Compliance

Many states mandate reserve studies and specific disclosure requirements. CommunityPay templates meet statutory requirements by jurisdiction.

Update Tracking
Track when the study was last updated and when the next one is due.
What this is not: a reserve study. CommunityPay does not perform site inspections, does not set useful lives, and does not issue a study under any professional standard. Where a state requires a reserve study, or requires one on a set interval, that obligation is met by a qualified reserve specialist. This report tracks funding against the plan that study produces.

System Integration

The reserve funding status report reads from the ledger and the component register. No duplicate data entry.

Accounting Ledger
Reserve fund balances pull from GL. Expenditures post to reserve accounts.
Fixed Assets
Component registry syncs with fixed asset module. Depreciation aligned.
Budget Module
The annual budget report checks that the budget carries a reserve contribution line.
Resale Certificates
Reserve status automatically included in resale package generation.

A reserve study is only as good as its data. Because CommunityPay is your accounting system, your asset registry, and your payment platform, reserve analysis reflects reality— updated continuously, not every three years.
